Main purpose of the job
The incumbent in this position will provide an efficient front office and administrative support function to the Regional BTT Office.
Description of the job
  • Answer and redirect all incoming calls promptly in a friendly, polite and professional manner
  • Ensure that the reception area is kept neat and tidy at all times
  • Welcome all guests upon arrival and contact their respective hosts
  • Co-ordinate scheduled deliveries of the messengers/courier providers as required
  • Update internal telephone directories and short codes as and when necessary
  • Relay messages to the respective employees if they are not available
  • Coordinate the courier services for all documents to be couriered
  • Always Maintain internal and external customer relations
  • Co-ordinate bi-monthly communications meetings
  • Always Promote a positive image of the company
  • Apply efficient time management in the workplace



Minimum requirements

Minimum Education and Experience
  • Grade 12
  • 2 years front office / administrative experience preferably within a client facing environment.



Knowledge Skills and Abilities
  • Ability to plan organise, prioritise and multi-task
  • Strong customer service focus
  • Excellent problem-solving skills
  • High levels of integrity and confidentiality
  • Excellent communication skills (written and verbal)
  • Proficient on MS Office – Word, Excel, Power Point.
