<p><strong>Reporting Manager</strong></p>
<p><strong>The Receptionist reports to the Regional Sector Accountant and the Regional Facilities Manager.</strong></p>

<p><strong>Duties and responsibilities</strong></p>
<p><strong>1. Receptionist duties</strong></p>
<p><strong>• Interaction with clients, tenants and contractors in a busy reception. </strong><br />
<strong>• Booking and coordinating meeting rooms. </strong><br />
<strong>• Assisting with court space exhibition sales and invoicing thereof. </strong><br />
<strong>• Interacting with messengers collecting and delivery cheques/mail. </strong><br />
<strong>• General office duties e.g. filing, photocopying, binding of monthly management pack and lease agreements etc. </strong><br />
<strong>• Answering the telephone, screening and directing calls to other staff members as well as providing basic information to callers. </strong><br />
<strong>• Liaison with tenants and contractors. </strong><br />
<strong>• Keeping the reception area tidy and well maintained. </strong></p>
<p> ;</p>
<p><strong>• Dealing with customer / tenant queries and ensuring a professional interaction to resolve queries. </strong><br />
<strong>• Ensure that meeting rooms are serviced between meetings and that lunch orders are taken and carried out / managed, when required. </strong><br />
<strong>• Compile minutes of each team review / contractor meeting when required. </strong><br />
<strong>• Issue Keys and Contractors Register. </strong><br />
<strong>• Manage the ordering of stationery and control thereof.</strong></p>
<p><strong>2. Maintenance Administration</strong></p>
<p><strong>• Administration of the procurement process systems (Fraxion). </strong><br />
<strong>• Ensure all appointments are effectively managed for the Regional Facilities Manager. </strong><br />
<strong>• Set up quarterly tenant meetings and service providers as directed by the Regional Facilities Manager </strong><br />
<strong>• Assist the facilities team with the consolidation of monthly reports (i.e Risk items) </strong><br />
<strong>• Provide tenants with service disruption updates and general commination. </strong></p>
<p><strong>• Attend SLA meetings and take minutes as and when required.</strong><br />
<strong>• Manage and collate all contractor documents for vendor approval by procurement. </strong><br />
<strong>• Manage site contract database and asset database. </strong><br />
<strong>• Assist the facilities team with admin related to capital expenditure projects. </strong><br />
<strong>• Assist with compilation of building inspection repairs with the building manager. </strong></p>
