Payroll Officer
Kaya 959 is seeking to appoint a Payroll Officer on a permanent basis to be based at their Parktown North, Gauteng Office.
The Payroll Officer will be responsible for managing all payroll processes and systems to ensure efficient and accurate delivery of the station’s payroll. The incumbent is required to maintain strong internal controls and confidentiality of private information to remain compliant with appropriate legislation and regulatory requirements.
INTERNAL PROCESSES Payroll & Benefits Administration
Manage the entire payroll function for KAYA and ensure that finance can release payment accurately and timeously every month. Including:
Process and administer the monthly payroll for all companies in line with approved policies, procedures. (Including the generation of payslips and IRP5’s)
Monthly preparation and reconciliation of key accounts, ensuring that these are finalised and signed off monthly by the Finance Manager before the 10th of the following month.
Ensure that all salaries payments have adequate supporting documentation and are correctly allocated and authorised before processing.
Process all payments in the Payroll System and Accounting Software ensuring correct Tax deductions and expenses classification at all times.
Establishes controls to maintain compliance with employment legislation and regulatory guidelines.
Remains current with regulatory changes and the impact on payroll processes, preparing the payroll for any changes.
Process statutory payments (e.g., UIF, SDL, and PAYE.), ensure timely submission and file accurately.
Ensure company’s compliance status are in good legal standing with various statutory bodies at all times (SARS, Compensation Commissioner, DOL, Seta)
Ensure that the employee information and SARS codes reconcile accurately on the IRP5’s before submission and distribution on an annual basis.
In conjunction with HRBP conduct HR and payroll audits for KAYA.
Process enrolments, changes and terminations of participants in all benefit plans and programs.
Reconciliations
Ensure that all payroll and bank reconciliations are reconciled to the ledger and sub
ledgers.
Assists in the review of data captured to ledgers, registers, journals and logs of debtors,
creditors, bank to ensure overall data integrity.
Reconcile monthly billing statements against payroll deductions.
Employee Self Service
Administer ESS system and respond to employee queries.
Reporting
Assisting in producing HR Reports for internal and external stakeholders. Reports would
be monthly, quarterly and annually based on requirements.
Assisting in producing Board and Committee Reports as and when required.
Customer relationship
Implement and monitor the department’s service delivery to clients (internal and external),
with this including other departments within KAYA, This includes but is not limited to telephone and email responses.
Providing support and assistance on policy interpretation and implementation as and when required.
Administering all HR and Payroll systems ensuring that access granted to users is aligned to job requirements and there is no abuse of assigned rights.
Payroll-related Degree/Diploma/Certificate
5 – 7 years of experience in a similar role is essential
3 – 5 years experience in VIP payroll or equivalent
Sage 300 payroll system or equivalent
Knowledge of accepted accounting practices and principles
Detailed knowledge of HR processes and policies
Basic knowledge of similar industries.
