<p><strong>KEY PERFORMANCE AREAS</strong><br />
<strong>1. Provide Support to Stakeholders </strong><br />
<strong>1.1 Provide required information to walk in clients.</strong><br />
<strong>1.2 Direct walk-in clients to relevant departments.</strong><br />
<strong>1.3 Communicate SDF activities and dates to stakeholders.</strong><br />
<strong>1.4 Collect meeting schedule from reception.</strong><br />
<strong>1.5 Administer meetings as scheduled.</strong></p>
<p><strong>2. Operating the Switchboard </strong><br />
<strong>2.1 Answer incoming Calls.</strong><br />
<strong>2.2 Transfer calls to relevant departments.</strong><br />
<strong>2.3 Take massages and forward to relevant personnel.</strong></p>
<p><strong>3. Manage Reception Area</strong><br />
<strong>3.1 Accept documents on behalf of the Chamber.</strong><br />
<strong>3.2 Send communication to the Chamber to collect documents.</strong><br />
<strong>3.3 Log a call when TETA phones are down.</strong><br />
<strong>3.4 Order drinking water bottles.</strong></p>
<p><strong>4. Maintenance of the Office</strong><br />
<strong>4.1 Ensure that the office is kept clean at all the times.</strong><br />
<strong>4.2 Dust and polish furniture and counters.</strong><br />
<strong>4.3 Sweep/ vacuum, polish and mop floors daily.</strong><br />
<strong>4.4 Maintain a clean and hygienic kitchen area.</strong><br />
<strong>4.5 Ensure that the kitchen is always tidy.</strong><br />
<strong>4.6 Ensure that the fridge is cleaned at least once a week.</strong><br />
<strong>4.7 Clean and sanitise toilets, countertops and sinks.</strong><br />
<strong>4.8 Empty out dustbins every day.</strong></p>

<p><strong>5. Preparing Board Room for Meeting</strong><br />
<strong>5.1 Book Boardroom for Meeting.</strong><br />
<strong>5.2 Tidy boardrooms/training room before and after meeting.</strong><br />
<strong>5.3 Supply cutlery for tea and lunch during meetings.</strong><br />
<strong>5.4 Ensure that there is enough water jugs and glasses before meetings commence.</strong><br />
<strong>5.5 Ensure that meeting venues are kept clean all the times.</strong></p>
<p><strong>6. Mentoring and Coaching of Intern</strong><br />
<strong>6.1 Train interns on how to operate the switchboard.</strong><br />
<strong>6.2 Motivate interns to contribute and support to team goal.</strong></p>

<p><strong>MINIMUM REQUIREMENTS</strong><br />
<strong>2.1. Experience and qualification:</strong><br />
<strong>• Matric qualification. A secretariat/ administration qualification will be an added advantage.</strong><br />
<strong>• Minimum of 3 years of experience working as switchboard operator/ receptionist and 1 year of which should be </strong><br />
<strong> experience in housekeeping or cleaner.</strong></p>
<p><strong>2.2. Knowledge and skills</strong><br />
<strong>2.2.1. Knowledge and understanding of:</strong><br />
<strong>• Customer service.</strong><br />
<strong>• Knowledge of operating the switch board.</strong><br />
<strong>• Paying attention to detail.</strong><br />
<strong>• Working independently and in a team.</strong></p>
<p><strong>2.2.2. Skills</strong><br />
<strong>• Telephone etiquette skills.</strong><br />
<strong>• Good interpersonal skills (both written and verbal).</strong><br />
<strong>• Time management skill.</strong><br />
<strong>• Computer skills including MS Word, MS Excel, MS Outlook, MS Power Point.</strong></p>
