The Language Centre is one of four centres within the Division of Learning and Teaching Enhancement. The Centre provides language support and language services to Stellenbosch University staff and students, as well as to external clients. The Language Centre is responsible for language support in terms of language acquisition and development (Afrikaans, English and isiXhosa language learning within various programmes), as well as academic literacies and professional communication.

Die Taalsentrum is een van vier sentrums in die Afdeling Leer- en Onderrigverryking. Die Sentrum bied taalondersteuning en taaldienste aan personeellede en studente van die Universiteit Stellenbosch, asook aan eksterne kliënte. Die Taalsentrum is verantwoordelik vir taalondersteuning met betrekking tot taalverwerwing en -ontwikkeling (Afrikaans-, Engels- en isiXhosa-taalleer in verskeie programme), sowel as akademiese geletterdheid en professionele kommunikasie.

Duties/Pligte

General administrative support:

Providing administrative support to the Language Centre (scheduling meetings and planned activities, monitoring diary, taking minutes during meetings, etc.);
Receiving visitors, interacting with clients, and effectively managing email and telephonic enquiries;
Keeping accurate administrative records;
Performing asset administration, as needed.

Course administration:

Carrying out administration for short courses within the Language Centre;
Ensuring efficient course administration for credit-bearing courses (uploading student marks and student feedback, and handling test administration);
Conducting layout and format checks on printed material (course-work books and tests), as needed.

 



Financial administration and budget control:

Carrying out the financial administration required for daily operations in short-course portfolios and credit-bearing courses in a timeous and efficient manner and in line with Stellenbosch University’s financial policies;
Managing petty cash for short courses;
Maintaining effective budget control with regard to purchasing goods and services in accordance with course budgets;
Providing ad hoc assistance with the annual budgeting process.

Algemene administratiewe steun:

Bied administratiewe steun aan die Taalsentrum (skeduleer vergaderings en beplande aktiwiteite, monitor dagboek, neem notules tydens vergaderings, ens.);
Ontvang gaste, skakel met kliënte en hanteer e-pos- en telefoniese navrae met doeltreffendheid;
Hou akkurate administratiewe rekords;
Hanteer bate-administrasie, soos nodig.

Kursusadministrasie:

Hanteer administrasie vir kortkursusse in die Taalsentrum;
Verseker doeltreffende kursusadministrasie vir kredietdraende kursusse (laai studentepunte en -terugvoer en hanteer toetsadministrasie);
Gaan uitleg en formatering van gedrukte materiaal (kursusboeke en toetse) na, soos nodig.

 



Finansiële administrasie en begrotingsbeheer:

Hanteer die finansiële administrasie nodig vir die daaglikse bedrywighede van kortkursusportefeuljes en kredietdraende kursusse op ‘n tydige en doeltreffende wyse en in lyn met die Universiteit Stellenbosch se finansiële beleide;
Bestuur die kleinkas vir die kortkursusse;
Handhaaf doeltreffende begrotingsbeheer wat betref die aankoop van goedere en dienste in ooreenstemming met kursusbegrotings;
Ad hoc-bystand met die jaarlikse begrotingsproses.

Job Requirements/Pos Vereistes

A post-matric qualification in office administration or a relevant field;
At least three years’ administrative work experience, including experience in short course administration and/or academic course administration;
At least two years’ experience in financial administration (including invoicing, refunds, debtor administration and other standard bookkeeping tasks);
Computer literacy in MS Office (Word, Excel and Outlook);
Excellent interpersonal skills;
Good verbal and written communication skills;
The ability to work independently as well as in a team;
Good organisational skills and the ability to adhere to deadlines.

Shortlisted candidates must be willing to undergo a computer proficiency test, as well as a skills test, which will include questions on financial administration and short course administration.


 



‘n Naskoolse kwalifikasie in kantooradministrasie of ‘n toepaslike veld;
Minstens drie jaar se administratiewe werkservaring, wat ervaring in kortkursusadministrasie en/of akademiese kursusadministrasie insluit;
Minstens twee jaar se finansiële administrasie (met inbegrip van fakturering, terugbetalings, debiteure-administrasie en ander standaard boekhoudingstake);
Rekenaargeletterdheid in MS Office (Word, Excel en Outlook);
Uitstekende interpersoonlike vaardighede;
Goeie mondelinge en skriftelike kommunikasievaardighede;
Die vermoë om onafhanklik asook in spanverband te werk;
Goeie organisasievaardighede en die vermoë om sperdatums na te kom.

Kandidate op die kortlys moet bereid wees om ‘n rekenaarvaardigheidstoets af te lê, sowel as ‘n bevoegdheidstoets wat vrae oor basiese finansiële en kortkursusadministrasie sal insluit.

 




Recommendation/Aanbeveling

Familiarity with the SU short course system;
Knowledge of the SU financial system (SUNFin);
A commitment to continuous professional development.
