<p><strong>The Bellville Park Campus of Stellenbosch University is a postgraduate campus and home to various academic entities, such as the Stellenbosch Business School and the School for Public Leadership. </strong></p>
<p> ;</p>
<p><strong>This role requires a professional, friendly and organised individual who will create a welcoming environment for all visitors, managing incoming phone calls and directing them appropriately, and performing administrative tasks as required to support the efficient operation of the office.</strong></p>
<p><strong>This position is on-site only, located at the Bellville Park Campus of Stellenbosch University, Carl Cronjé Drive, Bellville, Western Cape.</strong></p>

<p><strong>The incumbent should be willing to work shifts, which would include some Saturdays when required by the business.</strong></p>
<p><strong>This appointment will work the late shift, which is 08h30 &#8211; 17h00 but could be required to take the early shift (07h00 -15h30) should the need arise.</strong></p>
<p><strong>Saturday shifts would normally be 07h00 &#8211; 12h00 when there are student groups on campus.</strong></p>

<p><strong>Duties</strong></p>
<p><strong>Client service and image</strong></p>
<p><strong>Receiving clients and visitors in a professional manner.</strong></p>
<p><strong>Effectively managing access control and monitoring the entrance.</strong></p>
<p><strong>Effectively managing enquiries.</strong></p>
<p><strong>Providing basic and accurate information, e.g. knowledge of programme information.</strong></p>
<p><strong>Correctly referring and directing clients to the appropriate person / venue.</strong></p>
<p><strong>Presentability and cleanliness of person and ensuring that the reception area is tidy and presentable.</strong></p>
<p><strong>Accurately and quickly responding to messages received.</strong></p>
<p><strong>Being aware of all happenings on campus, e.g. courses on campus.</strong></p>
<p><strong>Taking professional action during a problem situation.</strong></p>
<p><strong>Communicating with staff and clients</strong></p>
<p><strong>Effectively answering, screening, and forwarding incoming phone calls to the applicable staff member or department.</strong></p>
<p><strong>Assisting with various enquiries and providing basic and accurate information telephonically.</strong></p>
<p><strong>Professionally managing the switchboard.</strong></p>
<p><strong>Administration </strong></p>
<p> ;</p>
<p><strong>Communicating with staff when packages arrive at reception.</strong></p>
<p><strong>Occupational health and safety</strong></p>
<p><strong>Staying informed about emergency and evacuation procedures.</strong></p>
<p><strong>Ensuring that first aid training and safety officer training are up to date.</strong></p>
<p><strong>Managing the first aid kit at reception according to Occupational Health and Safety regulations.</strong></p>
<p><strong>Ad hoc</strong></p>
<p><strong>Assisting the conference division, when needed, with venue-related queries or support.</strong></p>
<p><strong>Performing other tasks as directed by the line manager.</strong></p>

<p><strong>Job Requirements</strong></p>
<p><strong>Matric (NQF 4) with at least three years&#8217; work experience in a customer facing role.</strong></p>
<p><strong>Excellent verbal and written communication skills.</strong></p>
<p><strong>Excellent interpersonal skills.</strong></p>
<p><strong>Professional appearance and demeanour.</strong></p>
<p><strong>Excellent telephone etiquette.</strong></p>
<p><strong>The ability to communicate clearly and professionally in English with all clients.</strong></p>
<p><strong>The ability to work independently as well as in a team.</strong></p>
<p><strong>Contactable work-related references.</strong></p>
<p><strong>Computer literacy, with proficiency in MS Outlook, Word and Excel.</strong></p>
<p><strong>Proficient in Microsoft Teams.</strong></p>
<p><strong>Willingness to work shifts.</strong></p>
<p><strong>Willingness to provide extra services as required from time to time</strong></p>
<p><strong>Recommendation</strong></p>
<p><strong>Fluent in at least one additional official South African language.</strong></p>
