JOB DESCRIPTION

Key Performance Outputs

The successful candidate, reporting to the Local Airport Manager and will be responsible for but not limited to the following:

Provide administrative support during the implementation of interventions.

Monitor stock levels and purchase stationary and /or sundry for the office.

Monitor of OPEX and CAPEX expenditure.

Generate procurement orders.

Work with petty cash and invoices.

Ensure that relevant policies and standard operating procedures (or adverts) are up to date on relevant systems/intranet.

Maintain documents and relevant document management system.

Build, support and maintain healthy, diverse internal and external relationships to ensure achievement of organisational goals. Implement remedial actions where required.

 

Respond to request, queries and complaints as and when required. Escalate to relevant personnel when unresolved.

Manage and coordinate relevant Manager’s dairy.

Make necessary travel and accommodation arrangements.

Schedule and coordinate meetings in terms of invitations, conference rooms, catering etc.

Oversee daily housekeeping of relevant area.

Prepare letters, reports, memoranda, presentations and other relevant documentation.

 

 

Transcribe, record and distribute minutes of meetings to relevant parties.

Assist in preparation of tender documentation.

Implement filing system. Recordkeeping, retrieving and filing of relevant documentation.

Adhere to statutory regulations, organisational standards, policies and procedures. Report non-compliance and implement corrective actions to ensure compliance.

Ensure all source documentation is confidentially maintained, securely stored and filed in accordance with Standard Operating procedures.

 

Technical Skills and Experience

The challenges posed by this position require the successful candidate to have the following skills and experience: 

National Senior Certificate NQF Level 4 is essential.

1-2 years’ Operational experience is essential.

Post Matric Qualification in Operations Management / Office Administration / Business Administration is advantageous.

Intermediate knowledge of Microsoft Office.

Code 8 driver’s license

Generic Requirements:
 Applicants must display competency in the post-specific core functions of the post;
 Be fluent in at least two of the official languages, of which one must be English;

 Prepare and pack vehicles for transport purposes as per requests of clients;
 Ensure the loading and off-loading of equipment/vehicles;
 Ensure the proper inspection and maintenance of vehicles;
 Report losses or any damages on vehicles;
 Assist with the formulating of policy and standard instructions and procedures relating to the
mobilisation of the allocated vehicle fleet.

 

 Ensuring compliance of National Instruction 4 of 2011, State Vehicles and National Instruction 2 of 2022, Armoured Vehicles;
 Manage the registration, certification and utilisation of the vehicle fleet allocated to Mobilisation Support;
 Manage the maintenance of the allocated vehicle fleet of Mobilisation Support;
 Provide performance and implementation reports on activities of the Specialised Fleet to the Section Head: Mobilisation Support for inclusion in the Annual Report of the SAPS;
 Ensure adherence to the Minimum Information Security Standards (MISS).

Description

This is an exciting opportunity for an Administrator – Transfer Agency, the Administrator will be expected to review and authorise all investor instructions, provide validation of investor static and transactional instructions in line with fund rules and timelines. Application of client, Fund, KYC and AML rules according to the requirement of the relevant jurisdiction. Attend to investor enquiries received directly via email or telephone. Work directly with the fund accounting team to ensure the correct application of prices and timelines. Review and release investor correspondence. Completing daily checklist, handling ad hoc requests and requirements.

 

 

Job specification

• Receive and review investor documentation and ensure that documentation is verified in a timely manner, follow up with investor on missing or original documentation;

• Ensure that the necessary documentation and information pertaining to the investors are captured in line with relevant product and process rules;

• Ensure that all Investor transactions are processed in a timely and accurate manner;

• Maintenance of investor registers;

• Full understanding of FATCA/CRS and the ability to apply FATCA/CRS classifications;

• Identifying any gaps in controls and processes and putting process improvement suggestions forward in a professional manner;

• Ensuring adherence to all policies & procedures, relevant laws and regulations;

• Working as part of a larger global team in the case of outsourced activities and able to work flexible hours;

• Must be able to service any investor queries understand & handle complex queries; 

• Strong domain knowledge is essential & understanding of TA businesses;

• Where applicable confirm AML status with Compliance and Operational Teams

 

 

Skills Required:

•3+ years Transfer Agency experience; 

• FATCA/CRS – ability to review Self Certification documents, classify accounts and understand XML reporting requirements;

• Knowledge of Transfer Agency operational processes and its integration with AML processes;

• AML Knowledge of local and global requirements is advantageous;

• Strong planning and organizational skills; 

• Strong communication (verbal and written) and problem-solving skills;

• The ability to work with all levels within the organization;

• The ability to adapt to changing priorities and varied decision-making scenarios;

• An understanding of fund structures and the fund administration business and ensuring more junior staff have sufficient knowledge and skills; 

• The ability to work to tight deadlines in a proactive fashion; 

• Ability to identify opportunities for process improvements and to communicate same effectively; 

• Proficient in Microsoft Office applications.
